DEPARTMENT: PARKS AND RECREATION

REPORTS TO: PARKS AND RECREATION DIRECTOR

LOCATION: 32 CHURCH STREET

HOURS: 40 Hours per Week

POSITION SUMMARY:

Serves as the first point of contact for the department, providing exceptional customer service in a fast-paced environment. Responsible for greeting and assisting patrons of all ages, from young families to senior citizens, handling inquiries, directing phone calls, processing program registrations, and collecting payments. Must efficiently utilize department software, maintain accurate records, and provide information on programs, events, and facility rentals. Strong communication, organizational skills, and the ability to multitask in a dynamic setting are essential. Position is represented by the Guilford Employee Association.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Greets and assists patrons at the front counter in a courteous and professional manner.
  • Provides accurate information about Parks & Recreation programs, senior programs, and facility rentals.
  • Directs individuals to rooms for meetings, programs, and events.
  • Assists in maintaining a welcoming and organized front desk environment.
  • Answers, screens, and directs phone calls promptly and professionally.
  • Provides clear and courteous communication to customers via phone, email, and in person.
  • Takes and relays messages accurately to the appropriate staff members.
  • Processes program registrations, pavilion reservations, and seasonal beach sticker sales; collects and records payments, enters data into department software, and ensures compliance with insurance and documentation requirements. Assists other office staff with scheduling bus requests and senior lunch requests
  • Sends out weekly maintenance schedules for pavilion events.
  • Assists in organizing and managing seasonal appointments for the AARP free tax assistance program.
  • Maintains accurate records and files related to department operations.
  • Supports special events and department activities, as needed.
  • Balances and reconciles the cash drawer at the end of each day.
  • Distributes indoor sports equipment, such as pool and ping pong supplies.
  • Reports maintenance or safety concerns to the appropriate personnel.
  • Troubleshoots customer concerns and de-escalate issues when necessary.
  • Adapts quickly to changing priorities in a fast-paced environment. Answers, screens, and

  • Ensures paperwork, messages, and office communication reach the right people at the right time.
  • Works closely with Parks & Recreation staff to ensure smooth daily operations.
  • Performs other duties as may be assigned.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of office procedures and department policies.
  • Skills in interacting with diverse age groups.
  • Skills in computer programs, including Microsoft Word, Excel, and RecTrac.
  • Skills in mathematics for handling transactions and financial reconciliations.
  • Ability to learn assigned clerical tasks readily and to adhere to prescribed routines.
  • Ability to operate standard office equipment, including computers, printers, and cash registers.
  • Ability to follow oral and written instructions effectively.
  • Ability to prioritize multiple tasks in a fast-changing environment.
  • Ability to remain calm and professional in high-pressure situations.
  • Ability to compose professional correspondence and maintain accurate records.
  • Ability to establish and maintain effective working relationships with coworkers, town officials, and the public.
  • Ability to perform duties in accordance with all Town requirements and policies.
  • Ability to effectively present information and respond to questions from employees and the general public.
  • Ability to comply with all applicable federal, state, and local safety and health regulations that would apply to this job.

PHYSICAL DEMANDS:

While performing the duties of this job, the employee is regularly required to stand, walk, smell, talk, and hear. The employee is required to sit, use hands, reach, climb, or balance, stoop, kneel, crouch or crawl .

The employee must be able to lift and/or move up to twenty (20) pounds. Specific vision abilities include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus .

EDUCATION AND/OR EXPERIENCE:

High School Diploma or General Education Degree (GED), plus related computer or business experience or equivalent combination or education and experience.

WORK ENVIRONMENT :

While performing the duties of this job, the employee is required to work in an office environment. The noise level is usually moderate. Duties are performed in office environment. Regular exposure to computer screen is required.
